SCOPE OF WORK:

Payroll processing services includes:

  • Computation of salaries, allowances, bonus etc. based on attendance sheet & other records provided by the client.
  • Assisting in Payment processing on fixed payroll date which is 7th of each month.
  • Employee database management (including master creation, changes, deletion etc.)
  • Loan / Leave management.
  • Online access to employee for profile viewing, salary details, pay-slip records etc.
  • Employee deductions referred by the management such as loan, advance, income tax etc.
  • Employee’s P.F./ Pension, Advance against P.F. [claims, settlements & allied assistance]
  • Flexible pay structures – friendly – management.
  • Issuance of monthly pay-slip, annual bonus slips, annual leave card & annual leave records maintenance for the employees of the client.
  • Various Reports generation for the deduction of loan & advance – excluding income tax report. (Refer to Point 6).
  • Generation of bonus calculation register for calculation of bonus, transferring the same data in bonus form – C and preparing Bonus form - D as prescribed in The Payment of Bonus Act 1965.
    • Work of preparation & maintenance of Bonus Form-A & bonus Form-B is excluded from the scope of work of Rohit Group as it relates to the balance sheet of the client.
  • Providing portfolio management services which includes compliance for each of the following labour laws:
    • The Employee State Insurance Act 1948.
    • The Employee Provident Fund & Misc Provisions Act 1952 which includes maintenance of records under The Employee Pension Scheme 1995 and The Employee Deposit Link Scheme 1976.
    • The Payment of Gratuity Act 1972.
    • The Workmen Compensation Act 1923.
    • The Payment of Bonus Act 1965.
    • The Minimum Wages Act 1948.
    • The Payment of Wages Act 1936.
    • The Factories Act 1948.
    • The Bombay Labour Fund Act 1953.
    • The Maharashtra Profession Tax Act 1975.
    • The Maternity Benefit Act – 1961.
    • The Equal Remuneration Act – 1976.
    • The Maharashtra Workmen’s Minimum House Rent Allowance Act & Rules-1983.
    • The Child Labour (Prohibition & Regulation) Act – 1986.
    • The Contract Labour (Regulation & Abolition) Act – 1970.
    • The Weekly Holidays Act – 1942.
    • The Apprentices Act -1961.
    • The Employment Exchange (Compulsory notification of vacancies) Act – 1959.
      • For Annual statutory return of this act Rohit Group will provide data of the employee’s attendance & benefits such as P.F., E.S.I., L.W.F., bonus etc. – only. To furnish remaining details pertaining to accounts, Sales, Inventory etc. will be sole responsibility of the client.
    • The Industrial Employment (Standing Orders) Act 1946.

LOCATION:

Location: Centralized Payroll processing will be carried out at Mumbai.

The entire service will be carried out at OFFSITE only.

PRELIMINARY REQUIREMENTS:

To carry out above work, Rohit Group needs following data from the client to ensure smooth pay roll processing:

  • Existing employees profile with full name, employee code, designation, department & location details, bank account details, income tax details, salary bifurcation, allowance details, gender details, address & contact nos. etc in soft copy format.
    • Format will be provided by Rohit Group and it will be named as “Bio-data”.
  • Employees Mobile No. & E-mail ID is requested so that, in case of any information of salary pay-slip is required to be share with the employee via e-mail or SMS can be provided by Rohit Group.
  • Briefing by company management or respective stakeholders on existing payroll process, company leave policies etc.
    • Leave balance up to date for each individual employee is required primarily and then Rohit Group will carry on with the job of leave management.
  • Access to existing payroll records maintained (salary registers, time sheet records & other relevant documents) is required.
  • Existing salary records & other details including loans, advances, income tax and any other deductions.
  • Further, our computations of salaries, allowances, bonuses etc will be done based on attendance sheets & other records provided by authorized person of client’s company.
  • Rohit Group will rely on the records provided for above computations and will assumed that the same are authenticated & have been verified by your respective stakeholders.
  • Details of TDS & other deductions provided by the client.

Details required for compliance with various labour laws and various periodical returns as required under the said laws and other liaison work.

REPORTS & OUTPUT:

Rohit Group will generate and provide to the client following reports:

  • Pay-slip reports.
  • Monthly salary report, category-wise – branch-wise summary, consolidate summary, profession tax summary, profession tax - gender-wise – summary, government dues summary etc. etc.
  • Leave credits on employee’s pay-slip and on client’s pay-sheet every month.
  • Advance, Loan, Income Tax reports – on monthly basis – as and when demanded by client.
  • Income tax Form 16, Form 12BA, Form -24 (Annual salary returns of the employees) is excluded in the scope of Rohit Group.
  • Generating E.S.I.C., P.F., P. Tax, Labour Welfare Fund challans – monthly or half yearly as the case may be.
  • Uploading E.S.I. & P.F. contribution details of the employee on the portal – every month.
    • Profession Tax challan uploading on Profession Tax portal will be taken care by client.
  • Procuring E.S.I. insurance no. of an employee – at the time of joining.
  • Providing Temporary Identity Card [TIC] & Medical Acceptance Card [MAC] at the time of fresh E.S.I. insurance no. registration to each new joiner.
  • Maintenance of various P.F. returns – whether it is monthly or annual in the form of Form no.2, Form no.3-A, Form no.5, Form no.10, Form no.11 and annual return in Form no.6-A.
  • Device a format for employees who are claiming P.F./Pension withdrawal, or advances from the P.F. amount.
  • Any additional output if needed by the E.S.I. & P.F. authority.
